For small dealers

Dealer software for a pitch with 10 to 40 cars

For the independent who buys, preps, sells and does the paperwork. Not for a dealer group.

Who this is for

You run one pitch with somewhere between 10 and 40 cars on it. You buy them, get them ready, photograph them and sell them, mostly through AutoTrader and Facebook.

Most of the day you are on your phone, out on the forecourt. The numbers live in a spreadsheet, a WhatsApp thread and a drawer of receipts. Every VAT quarter, that lot goes to the accountant.

You don’t want another website. You don’t want a contract. And you don’t want software that was built for a dealer group and cut down for you.

What you actually need at this size

  • Profit per car after prep

What the car made once the tyres, the valet and the MOT are paid for. Not sold-for minus bought-for.

  • Costs on the reg

Every bill against the car it belongs to, so nothing ends up in a drawer and nothing gets missed.

  • The VAT quarter

Margin-scheme VAT worked out per car as you sell, ready for your accountant.

  • Buyers not going cold

Every enquiry with a next step and a date, so nobody is left waiting.

  • A page for your cars

Somewhere to send a buyer that shows what you have, at the price you want.

And what you don’t

  • Group reporting

Built for a dealer principal looking across ten branches. You can see your whole pitch from where you stand.

  • Multi-site

You have one forecourt. Paying for software built around many is paying for things you won’t use.

  • A separate website

Another monthly bill, and another place to update the price when it drops.

What Forecourt CRM does for each one

Profit per car after prep

Profit is what the car sold for, minus what you paid, minus everything you spent getting it ready, minus the VAT due on it if you are registered. Run a car through the free profit calculator to see the gap between that and the spreadsheet figure.

Costs on the reg

Photograph a receipt and the form fills itself: supplier, total, VAT and category (Professional). It is matched to the car by its registration. No receipt? Type the amount. Each car also has a prep list (MOT, service, valet, photos) ticked off with who did it and when.

Add a car by its reg and the spec fills itself, with a free MOT history check on the same reg.

The VAT quarter

Margin-scheme VAT is worked out per car as each sale happens: a sixth of the margin, nil on a car sold at a loss. Each cost carries its own VAT treatment, so MOT fees and road tax are never counted as reclaimable. At the end of the quarter there is a report for your accountant, not a shoebox. Our margin scheme guide works one car through by hand.

Buyers not going cold

Every enquiry carries a next step and a due date, and the dashboard tells you how many buyers are waiting on you. A lead inbox gives you one email address to paste into AutoTrader, and every lead email that arrives becomes an enquiry. On Professional you can reply in one tap from four filled-in messages, and drop a price to tell everyone who asked.

A page for your cars

You get a public page for the whole pitch and one link per car that is the advert. It is always current, because it is your stock list. One feed link puts your cars on Facebook Marketplace, updated hourly and taken down when they sell.

Your data stays yours

It is fair to ask who sees your numbers. Nobody. Not us, and not the dealer down the road.

  • Your dealership is isolated at the database level. That is written into the data processing agreement, not just promised.

  • Export your stock and cost data as CSV whenever you like.

  • No contract and no lock-in. Leave when you want and take everything with you.

The detail is in the data processing agreement.

Questions

Do I need a website as well?
No. Forecourt CRM gives you a public page for the whole pitch and one link per car that is the advert, with photos, price and Call and WhatsApp buttons. It is always current, because it is your stock list. For most independents, that is the website.
Can I pay cash for prep and still log it?
Yes. Type the amount against the car. No receipt is needed. Cash prep counts in the car’s profit like everything else.
What happens if I leave?
There is no contract, so you cancel when you want. Export your stock and cost data as CSV at any time, including right before you go, and take it with you.
Does it work on my phone?
Yes. It is built to be used on your phone, standing next to the car. Add a car by its reg, take the photos, log a cost and answer a buyer from the pitch.
